Print Shop Orders

We have been experiencing increasing problems with orders coming to the Print Shop that do not give the necessary time needed to complete them.  The Print Shop needs a minimum 48-hour turnaround time for orders to be printed.  Because of our busy schedule, and in fairness to everyone, in cases where orders are needed in less than 48 hours they will be printed after the orders submitted before them.  The “Rule of Thumb” is 48 hours, but there may be a sooner turnaround time.  However, please do not bring down a print order and expect that it will be put in front of others that were there before yours.  Every effort will be made to get print orders done in the most expedient time.

Since the Print Shop has been moved down to the new Physical Plant Division Office most of the printing orders are being dropped off in the Mailroom in the 100 Building.  Orders are picked up twice daily from the Mailroom, once at 7:00 a.m. and again around 1:30 p.m.  Any orders placed in the Mailroom later than 1:30 p.m. will be considered to have been delivered the following day.  There have been a considerable number of orders that are also being backdated.  No matter what date is placed on the order it will be printed in the order in which it was received.

Another problem which we are facing in the Print Shop is that instructors are coming in to request that orders be printed for them ASAP because they forgot to get it in on time and now have an emergency.  This creates a real hardship on the Print Shop because those who have turned in their request within the allotted time are now in theory being asked to wait.  Please be aware of the pick up times for all printed materials in the Mailroom and be conscientious of the 48-hour rule.

As supported by Administration, we will also be implementing the following drop-off areas effective July 1, 2006.  There will be one drop-off area in the following buildings: 100 (Mailroom), 200 (Extended Ed), Buildings 2000 and 2300 (DSPS Office, Rm. 2005); Buildings 600, 900, 1300, 1800, 2100, and 2200 (Center Offices).  This change is due to time constraints on our Warehouse staff and other obligations for services that must be provided.  There are currently over 20 different stops each morning just for printing.   Please expect your printing delivery some time before 10:00 a.m.

Overview
We endeavor to provide Shasta College with inexpensive, quality printing delivered in a timely manner. With an annual output of over six million impressions, the Printing Services publishes the majority of the College's classroom-related materials. First day handouts, syllabi, course outlines, tests, and faculty-developed textbooks sold through the bookstore make up over 50% of our total output. The balance of the printing consists of administrative materials such as forms, letterhead paper, envelopes, etc. We also produce materials for departments such as Community Education, various campus organizations, and for special projects.

Some Limitations
Our operation is designed to meet the high volume duplication needs of the College. Our cost per copy is substantially lower than off campus vendors. Unfortunately we have some limitations:

  • No multi-color or complex graphics - hardware limitations mean that work involving multi-color or high resolution graphics need to be handled by off campus vendors. We do stock a wide variety of colored paper to enhance your publications.
  • 8½" x 11" paper stock & weights - again, due to hardware limitations, we utilize 8½" x 11" paper stock exclusively. The vast majority of our paper is 20 lb weight. Some projects may require heavier paper to prevent "bleed through" (a sheet printed on both sides where one can see the print from the adjacent page through the paper). Consult with us regarding special requirements in this area before finalizing your plans or purchasing special paper.
     

Who Pays the Bill?
The majority of our production is cost-free in that it is not back-charged to a particular  department. Some exceptions exist:

  • Community Education, student groups, textbook production and some other areas are on a "pay-as-you-go" basis.
  • Classroom-related printing of over 50 pages is considered a book and will be sold through the bookstore. High volume (50 pages or more) classroom-related printing not sold through the bookstore may be back-charged to the appropriate program as per Board Policy 6352.
  • Requests requiring unusual amounts of non-automated "hand-work."
  • Envelopes: $20.00 per box of 500.


Backlogs & Priorities
Printing Services runs at near capacity given staffing levels and hardware constraints, so backlogs often occur. These backlogs have required that a queuing hierarchy be established. In essence, classroom-related printing is our most important task followed by administrative printing and finally, special projects. An example may help. Imagine Printing Services receiving two work orders, one from an administrative office and another from an instructor. Both require the same allocation of machine and human resources. Both are needed within the same general time period. Under these conditions, we
would process the classroom materials first. Also, low priority, complex printing jobs (usually requiring hand collating, hand stapling, etc.) may need to be spread over several
days or weeks while a high priority project may force overtime scheduling.

Planning Ahead
Given the potential of backlogs to delay production of your work, if you have complex printing needs (or it is your first time working with Printing Services), please see us early in the development of the project. This will allow time to discuss technical issues and help establish realistic project timelines. Also, we can give you a printer's perspective on layout & design, assess off campus printing resources, and review our hardware capabilities with you.

Printing services request that we be given at least 48 hours for turn around time. Jobs requiring less than 48 hours of turn around time and requiring overtime to complete, will be back charged to the appropriate department.

Help Us Meet Your Needs

  • As needed, please review Board Policy regarding copyright. Printing requests not meeting these guidelines cannot be processed.
  • All work submitted for printing must have a completed "Printing Request Form" attached. Incomplete forms invariably cause delays. Be sure to keep the pink copy for your records!
  • Work to be printed must be presented in "camera ready" format (sorry, we are not equipped to do paste-ups, typesetting, or art work).
  • Materials to be printed must be typed on white bond with at least ½" margins on all sides.
  • Signatures should be signed in black or red ink. Please do not submit your camera ready copy printed on both sides of single sheets.
  • All multi-page work should be consecutively numbered, counting the cover page as page 1 (this is very important for collation and "back-to-back" printing).
  • Please do not turn in multiple jobs with the same due date. Stagger the due dates in the priority that they will be needed.
  • Masters must be single sided only!


Basic Services & Resources

Regular duplication services aim to process materials on a first-come, first-served basis
within the framework outlined above in Backlogs & Priorities. Peak workload periods
occur at the beginning of the semester, the week prior to midterms and finals, and at other
times. Processing delays can be expected during these times. Other backlogs occur at
random because of hardware failure, maintenance requirements, etc. These caveats aside,
we try to process all but the most unusual printing requests within the time constraints you
establish. Planning ahead virtually ensures that your requests can be filled in a timely
manner.

Other Copying Facilities
For staff convenience, a self-service copier is located in the mail room (Room #155) of the Administration Building. Autotrons are available from your division office. Departments are back-charged for copying in excess of twenty copies. Also, adjacent to the Bookstore and within the Learning Resources Center, coin-operated copiers are available.
